Receiving and validating student ID cards arriving at the University can only be done in person during the office hours at the Registrar's Office!

Student ID stickers for academic year 2023/24, spring semester

2023/24/2 semester student card validation stickers will be available from 12 February 2024!

For your information: Stickers for academic year 2023/24, fall semester are valid until March 31, 2024!

Students who have a student card and are active in the semester 2023/24/2 can collect their first semester student card validation stickers in person at the Registrar's Office during office hours from 12 February 2024.

Students' office hours are Monday, Wednesday and Thursday, 9:00-12:00.

Deadline for receiving the student ID validation sticker - for the spring semester - 31 March 2024!

It is not possible to mail the student card validation sticker!

 

 

Student card administration

The application for, issuance, revocation and validation of the student card is regulated by Government Decree 362/2011 (XII. 30.) on educational cards (hereinafter referred to as student cards).

Students of the Hungarian University of Agricultural and Life Sciences who are active students are entitled to apply for a student card. Students can submit their first student card application electronically free of charge via NEPTUN on the basis of the NEK data sheet.

Other reasons for applying for a student card may be: change of data, damage to previous card, loss. The student card can be applied for without any time limit.

According to the Government Decree 362/2011 (XII.30.) on student IDs, a student can have only one higher education student ID at a time. If you are studying at several institutions at the same time, or in another study programme within the same institution, or if you are studying in several locations (cities), you can indicate this on the student card you apply for. You can start your application for a student card at the institution where you have an active status. If you are studying in more than one system at the same time (e.g. full-time and part-time), you can use the ID card that offers better benefits.

According to Government Decree No 362/2011 (30.12.2011), § 3(1), "education cards in higher education are valid until 31 March of the 9th year from the date of issue at the latest".

Student card application and management procedure:

  1. Go to the Governmental Office (Kormányhivatal - Okmányiroda) getting NEK data sheet
  2. Upload NEK data sheet in Neptun
  3. Register the student ID card application in Neptun
  4. Certificate for discount transport fares
  5. Correction an incorrect NEK data sheet (if any failure)
  6. Receiving a student card
  7. Validating a student card
  8. Changing data on a student card
  9. Loss or damage of a student card
  10. Withdrawal of student card, end of validity

Go to the Governmental Office

The student card is based on the NEK data sheet, which is valid for 5 years under the current regulation. The NEK data form is issued by the Governmental Office (Kormányhivatal – Okmányiroda), where the student's personal details, photograph and signature are recorded. Incorrect data on the NEK data form can only be corrected at the Governmental Office!

NEK Data Sheet - NEPTUN

In possession of the NEK data sheet, the student is obliged to compare the data in NEPTUN System with the data on the NEK data sheet before the student card application is registered. If there is a discrepancy in the data, he/she should contact the campus Registrar’s Office and request that the incorrect data be corrected.

The NEK data form must be uploaded to NEPTUN before the application is recorded. The NEK data sheet can be uploaded under Information - Documents (Document type to be selected: NEK form!)

Register a student card application in NEPTUN

The student card application is done in NEPTUN Administration - Student card application by entering the NEK ID. The reason for requesting a student ID card can be: first request, change of data, damage to previous card, loss.

If you are entitled to apply for a student card for more than one study programme, you must check that you are applying for the correct programme before applying. Once the application is registered, the work schedule will be automatically assigned to the application.

Only the registered valid address on the student's official residence card can be used for the student card, otherwise the application will be rejected!
In the Neptun the recommended Message Type setting is "All". If the application is unsuccessful, the FIR status of the application is "NEK production rejected", if the application is successful the FIR status is "Card issued". If the student studies at several institutions at the same time, or attends other training programmes of the institution, or the education of his/her course takes place in several locations (cities), or if he/she is studying in more than one location (city), he/she can indicate this on the Student ID card he/she is applying for. Student can start his/her application for a student card at the institution where he/she has an active status. If the student participates in several forms of training programmes at the same time (e.g., full-time and correspondence training), he/she can use the student card that offers more benefits.

Certificate for discount transport fares

Student can have a request for temporary student cards (i.e., the certificate for reduced transport fares) at MATE Registrar’s Office until his / her permanent student card will arrive.

Without requesting a student card, a temporary certificate valid for 60 days can be issued to a non-Hungarian student who has a scholarship for less than twelve months, and to a student who changes his/her institution and the new institution cannot register the student and submit his/her request due to the transition period from the previous one.

Correcting errors in a request

You can check the status of your request in Neptun system or on www.diakigazolvany.hu  website by entering your educational ID.

If you see “NEK production rejected” status, it means that your request contains errors.

You can check the error description in your Neptun account. Select “Administration”, then click on “Student Card Administration” and finally on “Error Description”. If you do not see the cause of the failure, ask for help at the Government Office where the student card is administered. After the error has been corrected, the request is submitted to the Educational Authority again.

Receiving the student card

Student cards are issued within 45-60 days of submitting your request. The Educational Authority sends the new student cards to the institution by post. Student can check the status of his / her request in Neptun system, where he / she can see if the student card is ready. Student will receive a Neptun message about the delivery of the student card. Student can only collect the student card in person.

Validating the student card

If the student has an active student status, he / she will be provided with a student card validation sticker every semester which includes the validity period, the serial number of the sticker and the letter code of the University. The date of expiry of the first semester validation stickers is 31st March, and it is 31st October in case of the second semester validation stickers. One student is entitled to one validation sticker in a semester. If you lose the sticker, you will have to pay an administration fee of HUF 3,500.

Alteration to your student card data

If your personal details or address change, you will need to apply for a new student card. You must also apply for a new student card if you change your work schedule or training location (place of employment).

Lost or damaged student card

If your student ID card is lost, stolen, damaged or destroyed, you must report it to the campus Registrar's Office and at the same time you can apply for a new card electronically via NEPTUN. The damaged student ID must be returned, in other cases a declaration of loss or theft must be made. Since the student is entitled to one validation sticker per semester, if the student ID is lost or damaged, the sticker will also be damaged or lost and a fee of HUF 3500 will be charged.

Expired, invalid/withdrawn student card

Upon termination of the student status, the student card shall be withdrawn. The University shall report the termination of the student status to the Educational Authority. The student is entitled to use the validated student card until 31st March in case of the first semester and until 31st October in case of the second semester. If the student loses the card within the eligibility period, a certificate can be issued for him/her as a replacement.

Travel discounts

On the basis of Government Decree 85/2007 (IV. 25.) on travel discounts for public transport.

A valid student card entitles holders to commercial discounts and travel and cultural discounts guaranteed by the State. Student ID cards bearing the EYCA logo are also eligible for international discounts.

Paragraph 3. (1) On the basis of his/her status as a kindergarten, pupil or student, he/she is entitled to the discounts specified in Annex 1:

b) if he/she holds a student identity card or a certificate as defined in Government Decree No. 362/2011 (XII. 30.) on educational identity cards (hereinafter jointly referred to as "student identity card"),

bc) the student having full-time or evening education schedule in higher education institutions

1. on any route with an unlimited number of discounted tickets,
2. between the place of residence (place of stay) and the educational institution, with a reduced fare ticket,

bd) for students in higher education institutions attending courses of correspondence education, a reduced-price ticket between the place of residence and the educational establishment, which may be purchased;
